• Use case identification: Identified many potential use cases, and started with a Sales & Marketing Assistant bot that was straightforward to implement and high ROI with users able to interact via the elvex UI or via Slack.

• Data collection: Compiled thousands of documents for the app to reference as its “knowledge,” in just four hours, including a complete download of the public WordPress VIP marketing and documentation websites.

Use Cases

The get-started use case: a Sales & Marketing Assistant. “In my role I get tons of questions thrown at me from our team all the time,” Irvin said. “I get a Slack DM and it interrupts me from the deeper work I’m focusing on. Even though it’s frequently the same question over and over again, I’m happy to answer them—it’s my job—but I knew there had to be a better way.”

He found that the Solutions Engineering team had very similar challenges, especially with Requests For Proposals (RFPs) that had hundreds of questions. 

Irvin and Mulcahy built one “Sales & Marketing Assistant” bot that is broadly able to reference technical details, product documentation, competitive framing, case studies, and thought leadership. This bot can answer low-level questions about very specific technical questions, all the way up to very broad-base brand messaging—and everything in between. 

After launching the Sales & Marketing Assistant, news about elvex caught on within the organization and more teams wanted to build their own workflows.

Support ticket triage: WordPress VIP has a large, world-class support team. Because the product is very broad and complex, skill levels across the 50+ different major ticket categories. The triage process for “Who gets assigned this ticket?” is critical for delivering timely service, but many also find it distasteful—you are, after all, assigning your colleagues more work to do. With elvex, they are able to use a machine to immediately find the best fit support team members to assign a given ticket to, and they’ve removed both excess time and emotion from the equation. 

Internal documentation: WordPress VIP works in a distributed, asynchronous manner. They use Slack and have meetings, but most of the deep collaboration is done via an intranet and long-form textual communication. As such, there are a ton of robust well-defined processes that are varying forms of internal documentation. One such use case is a sales person or relationship manager uploading notes from a customer interaction. With elvex, the team built discrete apps to solve each of the varying internal documentation processes, whether it’s “First demo” all the way through to “Major Renewal.” 

Sales & Marketing reporting: “Are the numbers going up or down?” is a question revenue teams need to answer every week. Leadership also frequently asks for nuanced slices of the reports to investigate any deviations from the norm. Preparing the data to answer nuance can takes hours of reporting time. WordPress VIP set up an elvex application to make exploring nuances in the data is as simple as asking the question in natural language. 

Salesforce cleanup via website categorization: WordPress VIP’s product powers websites. As such, knowing what type of website a given prospect has (or is trying to build) is a crucial part of the go-to-market process for marketers and salespeople at WordPress VIP. They built out a bot that classifies a given URL into more than 20 buckets based on what purpose the website powers, such as lead generation, content marketing, investor relations, or ecommerce. They are now working on scaling this app to influence campaigns, use case research, call prep, and more.

Support ticket time-to-answer: Accurately answering tickets quickly creates better customer results. Beyond just triaging “Who should work on this ticket,” preparing the ticket with a potential prepopulated answer based on the submitted issue gives the support team member something to work from—and defeats the “problem of the blank page.” WordPress VIP is now exploring integrating elvex answers into their Zendesk in a secure manner to accerlate ticket answer speed and quality.
